Event Overview & Challenge

The National Industries for the Blind (NIB) Training Conference and Expo 2023 was a significant event that took place in Arlington, Virginia. This conference aimed to bring together professionals, advocates, and individuals interested in promoting opportunities for the blind and visually impaired in the workforce. The conference and expo faced the challenge of evolving their annual event to offer a more inclusive and engaging experience for all of the attendees. While the event was significant in celebrating the accomplishments of the visually impaired attendees, it lacked an elevated, immersive experience that catered to all participants, including the non-seeing. The challenge was to revamp the event to be more engaging and accommodating to all attendees, irrespective of their visual abilities. Ensuring that everyone could fully participate in all conference activities, from presentations to networking opportunities, was of utmost importance.

To meet the challenge head-on, the approach involved a comprehensive redesign of the event’s atmosphere and experiences. The focus was on inclusivity and engagement. We adopted a strategic approach by incorporating new elements that not only added visual appeal but also catered to the diverse needs of the attendees. The goal was to create an experience that transcended visual limitations and made the event accessible and enjoyable for everyone.

The Solutions

A brand new conference logo set the tone for a refreshed and elevated look that would be carried forward in future events.

Digital signage offered real-time updates, agenda details, and directional guidance, ensuring that all attendees could access vital information effortlessly.

The redesigned EOY Lounge provided a comfortable and inclusive space for attendees to relax, network, and engage in friendly competitions through games. To encourage engagement and interaction, all games and activities in common spaces were designed to be accessible to non-seeing participants, like Braille game pieces.

A dedicated team of volunteers was available to help non-seeing attendees navigate the hotel to access information and interact with other attendees.

The inclusion of the globally renowned blind painter, John Bramblitt, brought a unique artistic perspective to the event. Attendees had the opportunity to witness live art demonstrations and engage in an interactive workshop, which was made more accessible through the provision of headsets for a focused audio experience.

The barista station offered freshly brewed coffee and tea, providing a heightened experience for all attendees and catering to both their sensory and practical needs.

The 3M-sponsored charging station, prominently branded for visibility, offered attendees the convenience of charging their phones throughout the event.

Utilizing Zenus’s advanced camera technology, we systematically gathered valuable data on attendees’ experiences throughout the event. These sophisticated cameras offered insights into attendees’ preferences and dislikes concerning the design and activation components of the event.

Display areas dedicated to celebrating Employees of the Year and Agency Partner Awards were incorporated ensuring recognition and acknowledgment for their achievements. These included spoken descriptions to convey visual content, ensuring that non-seeing attendees could understand and engage with the information.
